On the Announcements page, you are able to see a log of All, Drafts, Scheduled, and Sent announcements.

Sending an Announcement

  1. Navigate to your Announcements page and click on "Create announcement"
  2. Choose recipients
    1. Guardians
    2. Members
    3. Members and guardians
  3. Filter by
    1. All members in your program
    2. All members in a group
      1. In the drop down menu, select the group
    3. Custom
      1. A custom assortment of students
      2. The custom option includes many filtering options to find the students you're looking for, and has a "Select all" option for the students you've filtered for that can be used multiple times.

To send an announcement to a couple of different grade levels or groups, first apply your grade level or group filter, add all of those students, then filter for the second group or grade and add those members as well.

  1. Indicate whether you want to send this announcement as an Email and/or SMS
  2. When you select Email, you are able to select additional recipients
    1. Select from existing users in your program or add additional emails
  3. Select "Continue!"
  4. On this page, you can add your Announcement details
    1. Subject and Content
    2. If you have upcoming events, you can select the event from the Quick Add section and it will copy it, then paste it into your Content section
  5. Include one or multiple attachment files
  6. Choose whether this announcement should be sent now or scheduled for a later time

If you scheduled an Announcement in a previous Season before wrapping up that Season, it will still go out to your recipients. But your members/guardians will need to go to into the "Inactive Season" list in their magic link to view that Announcement.

  1. When you're ready to send your message, click the green "Send announcement" button.

Reviewing & Managing Sent Announcements

You are also able to Edit or Delete sent announcements by selecting the three dots to the far right of a particular announcement.

Please note that editing an Announcement does not automatically notify members or guardians of the changes. If you need them to be informed of the updates, you will need to send a separate notification.

Viewing Announcements from a Previous Season

To view announcements from a previous season, you must first switch to that season. In the top-left corner of your screen, under your program name, select the current season. Then, click the three dots next to the season you want to view and choose "Edit." Set that season as the default.

Once you have finished reviewing the announcements, be sure to make your current season the default.

Accessing Past Season Announcements: Guardian and Student View

Members and guardians can view past season announcements by selecting a previous season when accessing their Magic Link.

Managing & Editing Draft Announcements

An announcement is saved as a draft if you click "Create Announcement" and leave the page before selecting recipients.

To view draft announcements, navigate to "Announcements" from the main menu. You can identify drafts by checking the "Status" column or by applying the "Draft" filter.

To edit or delete a draft, click the three-dot menu on the far right of the announcement and select the appropriate option.

When editing a draft, your previous selections will be retained. You will first be taken to the Recipients step—if no changes are needed, click "Continue." Next, review your selected delivery method and click "Continue" again if it is correct.

You can then update the message content as needed and choose to either "send" to send it immediately or "schedule" to schedule it for a later time.

To see a delivery status report for a particular Announcement, click on the subject of that Announcement. For each person this announcement was sent to, CutTime will tell you whether the email was sent or not and if the SMS notification was delivered, or if it's in another state: ""Failed, "Blocked", or "Not sent - Missing phone number."

Delivery Status From The Main Dashboard

From the CutTime dashboard, you can view SMS activity and any issues related to notifications sent to guardians and members in your program. This section displays both recent SMS messages sent through your program and any problems that occurred, including the affected phone numbers.

To see more information about a specific SMS, click the "Details" option to the right of the message preview. This will display either the issue that was flagged (if applicable) or the name of the contact the message was sent to.
