Sending an Announcement
- Navigate to your Announcements page and click on "Compose announcement."
- Indicate whether you want to send this announcement as an Email and/or SMS
- Select whether this announcement should be sent to:
- Students
- Guardians
- Students and Guardians
And filter by:
- The entire program.
- A particular group.
- A custom assortment of students
- The custom option includes many filtering options to find the students you're looking for, and has a "Select all" option for the students you've filtered for that can be used multiple times.
To send an announcement to your 9th and 10th graders, you can filter for 9th grade, select all, filter for 10th grade, and select all!
- Add any Additional Recipients' emails for the announcement, and select "Continue!"
- On this page, you can add your message details, and choose whether this announcement should be sent now or scheduled for a later time.
If there are Students who are missing Guardians, there will be a message in a yellow banner with red lettering prompting you to set up those Relationship Links. Additionally, any URLs added to the announcement are clickable in the announcements area for the recipients!
When you're ready to send your message, click the green "Create and send messages."
Checking Delivery Status
On the Announcements page, you are able to see a log of previous announcements as well as the announcements that are scheduled to send in the future.
To see a delivery status report for a particular announcement, click on the subject of that announcement. For each person this announcement was sent to, CutTime will tell you whether that SMS notification was delivered, or if it's in another state. For any marked Failed, Blocked, or "Not sent - Missing phone number," see the "Email Backup Communication" section below for details.
Email Backup Communication
Cell phone numbers are recommended for program members and guardians in CutTime. We do use emails, where provided, as a backup communication method in case the sms message fails to deliver for any reason. That backup email is also sent to program members and Guardians who do not provide a cell phone number but do provide an email address.
It should also be noted that school email addresses generally report a lower deliverability rating than non-school email addresses.
The email will include the content of the announcement, unlike the notification message that's sent to sms, and they'll still have a link to view the message in their dashboard and see the rest of their information there.
If a member or guardian replies to this email with "STOP," that will not remove them from the contact list; they will need to contact their CutTime administrator to remove them.
Once they click their magic link, they will be sent a one-time email to confirm their identity, and then they will access their member dashboard on their device. Now they can access what they need in CutTime!
