Instrument Import FAQ


Q: I accidentally imported my instruments twice, is it possible to delete the duplicates?

A: Contact support@gocuttime.com to address this issue. Generally speaking, it's easier for us to delete all of your instruments at once so you can re-upload the file. Be sure to retain the original data file you uploaded. Please note, depending on the number of instruments you have in your program, it may take some time for us to delete those instrument data.


Q: I'm trying to upload instruments, but there's so many errors to address, it would be impossible to go through each one! What should I do?

A: Make sure you've put your instrument data into our instrument import template using the "paste - values only" function; otherwise, the format of our template gets overwritten, and it won't properly flag the issues.

  • You might want to download a new template and re-paste your data using the "paste - values only" option to maintain the correct formatting.
  • Another consideration is that the condition comment column requires that there be an associated condition in the column directly left of that one.
  • The "Make" and "Model" columns are mandatory for the import. If you don’t have this information for certain instruments or if the instrument lacks identifiable model data, it is standard practice to enter "unknown" in these fields.
  • Charms Migration specific - It's a good practice to double-check that your columns align correctly with the data. Note that the "CutTime Export" from Charms includes an extra column due to structural differences between Charms and CutTime. Additionally, ensure the "Year of Purchase" column does not contain any "0"s. If a year is entered, it must be in a four-digit format (e.g., "2006") without including a month or date.

    Additionally, check that the "repair cost" column doesn't have any data where there is no start date, end date, and vendor.


Q: The instrument import template does not include a specific type for items like speakers, music stands, or other "equipment-type" items. How do I get that data in CutTime?

A: Equipment Inventory has it's own import process! See Equipment Inventory Import Overview for those details.


Q: The instruments imported, but it's missing data. What went wrong?

A: The import template is particular about the headings of the columns, if there are any edits or adjustments to the template, the data may not upload correctly, and we may need to delete the instruments uploaded so you can upload a corrected template.
