Public and District Events and Calendars

CutTime Next Gen enables users to create events shareable through public program and district calendars.

Types of Events

Private Events are visible only to students and guardians. If the Public or District event checkboxes are not checked when creating an event, that event is considered private. To access these events, students and guardians log in to CutTime via Magic Link and view these in the Events list on their dashboard or by subscribing via Calendar Links on their homepage.

Public Events are visible to the general public. Public calendars are typically embedded on program websites, school websites, or shared on social media, and public event details can be viewed without requiring login. Public calendars are sometimes limited to performances and fundraisers but often include all program events.

District Events are also visible to the general public. District calendars, similar to public ones, are often embedded on district websites or linked on social media. District calendars consolidate events across all programs in a school district in CutTime and are usually limited to performances open to the public.

Sharing Calendar URL

  1. Navigate to your Settings page; for district calendar, this is located in the District Settings page.
  2. At the bottom of this page is a "Share your public calendar page" section where you can copy the URL of your public calendar.
  3. Insert this URL wherever you need it to be seen on your website, announcements, or social media page to allow others to access it!

Embed Calendar into a Website

  1. Navigate to your Program Settings page; for district calendar, this is located in the District Settings page.
  2. At the bottom of this page is a "Share your public calendar page" section where you can copy the HTML code under "Embed this page in a website."
  3. Paste this code where you need it to go in your website!

Subscribing through Google Calendar

Here's how subscribing to the calendar on an external Google Calendar would work (similar steps would apply for other apps like iCal, Outlook, etc.):

These steps must be performed on a desktop and cannot be performed on a mobile device

  1. From your Program dashboard, click on Program Settings and scroll to the bottom. Locate the box pictured below and copy the URL from the grey box.
    1. For the district calendar, this box will be located in the District Settings page. All other steps will be the same.

  1. Open Google Calendar (a program-specific Google account is recommended for this), click the Plus sign next to "Other calendars" on the left side of your screen, and select "From URL."

  1. Paste the URL from step 1, check "Make the calendar publicly accessible", and click "Add calendar." Your new calendar will appear under "Other calendars" and the events will populate your screen.

  1. Your public calendar can now be shared and embedded. Find your calendar in "Other calendars", click the three dots to open Options, and click Settings.

  1. Scroll down to the "Integrate calendar" heading. From here, you have two options:
    1. To share: The gray box labeled "Public URL to this calendar" will generate a URL that you can share with your community. Anyone can paste this URL into their browser and access your public calendar from their personal device.
    2. To embed: The gray box labeled "Embed code" allows you to embed the calendar directly on a website. If your program has its own website, your website editor (Squarespace, Wix, etc.) will have built-in embedding tools. You can also share this code with your district's webmaster to embed it on your school website.

Calendar Syncing

After sharing or embedding your public calendar, new events or edits in CutTime will automatically sync with Google. Please note that due to a Google setting outside our control, updates in CutTime may take 24-48 hours to appear in Google.
