Getting "Logged In" To CutTime
Alerting Your Members
The first step you will want to take when getting started is to let your Members and Guardians know that they will receive SMS messages from either of these two numbers: (866) 732-5971 or (844) 385-8463, and/or an email from support@gocuttime.com.
See below.
Sending The Welcome Message
Triggering the Initial Welcome Message for an Individual
Please Note: Both the member and guardian initial login messages have pre-formatted wording and are not customizable.
For students/members
- Go to the Members page, find the student/member and click on their name.
- At the top right will be a button that says "Send Welcome Message". Click this button.
- If the member/student does not have at least one cell phone number or email on file, this button will not appear for you.
You can see if the member/student has successfully logged in by scrolling down the page to the Contact Status section, and by checking "Last Login". If there is no date, they have opened their magic link yet.
For guardians
- Go to the Guardians page, find the guardian's name.
- Click on the 3 dots to the far right of their row.
- Click "Re-Send SMS", and choose to "Re-Send Login Link".
Sending an Announcement to a Group of People
- Go to the Announcements page and click "Compose Announcement".
- Follow the workflow it takes you through to send that announcement (see more on that here - Announcements)
You will see your Announcement listed on the Announcements page under the Previously Sent section, and can edit the Announcement if you need to later.
If guardians are related to multiple students or students are a part of multiple programs, CutTime will display a list of students and/or programs on the magic link's My Student(s) page.
See Below:
CutTime can handle a guardians having multiple students in a program, as well as students in multiple programs and/or schools.
Authenticating
After the guardian or member clicks the magic link, which opens in their mobile or desktop browser, they're asked to trigger the verification code to authenticate their device.
The member and guardian will come back to that page and enter the pin code sent to them. Once the member or guardian has entered the code, the My Student(s) page loads.
Members and guardians will want to bookmark their magic link so that they can easier access and open their view of CutTime without potentially needing to re-authenticate.
Anytime a program director sends an announcement, adds a cost, or does another important activity in CutTime, the guardian and or student will receive a notification to click their magic link to come back to the My Student(s) page and see the new activity.
Why Magic Links?
What Are Magic Links?
Instead of members and guardians going to a login page to see their program's details in CutTime, they will open their cell phone messaging app or email and find a text or email message from CutTime. Inside of this notification will be their personalized and secure magic link - meaning that this is unique to that individual's cell phone number or email address, and acts as their "login".
No More Need for a Username and Password
A username and password are authentication conventions that have existed since the 1980s. We use a newer, more seamless way to authenticate a user in software called "magic links," which have been around for about a dozen years—no more usernames and passwords for guardians and students/members.
Much like a username and password, an individual's magic link should not be shared by members and guardians with anyone else.
Opting Out of SMS Messaging
They can reply "STOP" to the CutTime number in response to the message to opt out of text messaging.
As long as they have an email listed in their profile, the system will then resort to using email to send them messages from CutTime.
